Email Accounts

Email accounts are mailbox users for an activated domain.

Before Creating Accounts

At least one domain must have receiving active. If no domains are active, the Add account button is disabled and SDP Email shows a prompt to open the Domains screen.

Create An Account

Open Email accounts, then click Add account.

Enter:

Field Description
Domain The active receiving domain for the mailbox.
Full name Display name for the mailbox user.
Username The local part before @.
Password A strong sign-in password of at least 12 characters.

The final email address is created as:

username@domain

For example, username support on example.com creates:

support@example.com

Usernames may contain letters, numbers, dots, underscores, and hyphens.

Passwords

Passwords are set by the administrator when the account is created. To change a password:

  1. Open Email accounts.
  2. Select the account.
  3. Enter a new password in Account settings.
  4. Save changes.

Leave the password field blank when updating only the display name.

Changing a password revokes existing mailbox sessions. The user must sign in again on every device.

Forward New Mail

Administrators can automatically forward newly received messages while keeping a copy in the mailbox:

  1. Open Email accounts and select the mailbox.
  2. In Forwarding, click Add and enter the destination address.
  3. Open the verification email at the destination and approve the link within 24 hours.

Forwarding starts only after verification. Messages are resent from the local mailbox with Reply-To set to the original sender, which keeps delivery authenticated through the domain's configured sending provider. Every destination receives a separate copy and cannot see the other forwarding addresses.

Forwarded recipients count toward the monthly transactional-email allowance. Destination limits apply per mailbox:

If a plan is downgraded, the oldest verified destinations remain active up to the new limit. Extra destinations remain listed as Inactive at current plan limit and resume after upgrading or removing older destinations.

Forwarding applies only to new inbound mail; existing stored messages are not forwarded. A forwarding failure never removes the local copy and is shown beside the destination on the account page.

Disable A Mailbox

Use Disable mailbox to immediately block mailbox, SMTP, mobile, and connected AI-assistant access without removing stored data. Existing mailbox sessions are revoked, queued mailbox sends are cancelled, and a disabled mailbox cannot send or act as a catch-all destination.

Mail sent to a disabled address goes to the domain catch-all mailbox when one is configured. Otherwise it is discarded. Administrators may still open retained mailbox data, but cannot send as the disabled mailbox.

Enabling the mailbox again permits a new sign-in. Previously issued sessions and revoked integrations are never restored.

Permanently Delete A Mailbox

A mailbox must be disabled before it can be deleted. After disabling it, click Permanently delete and type the complete email address.

No recovery Permanent deletion removes mail, attachments, imports, forwarding rules, personal contacts, signatures, spam rules, calendar data, devices, and mailbox integrations immediately. There is no recovery window.

Organization contacts created by the mailbox remain available to the organization. Activity logs remain according to the service's audit-log retention policy.

Opening Mailboxes

From an account detail page, click Open email to open that mailbox. Mailbox users can also sign in directly at /login using their email address and password.

Duplicate Addresses

SDP Email prevents duplicate email addresses within the company database. If the address already exists, choose another username or update the existing account.
